Project initiation

The company Project-xpert-20 (PX19) is awarded to refurbish the library and the lecture theatres and class rooms from the ground floor to the second floor. In the recent era of globalisation, there is great influence of the digitalisation on the educational practice and thus the organisation has developed the contract to create the project plan for successful development of the building with 20 new work stations and 5 new work stations for job search in the library. The workstations are useful for the students to access the library base and latest digital technology for enhancing their learning and development activities (Kerzner, 2018). In this regard, the work stations are situated in the second floor where private study can be possible for the students and the students can enrol themselves for better hand private studies. The refurbished classrooms and lecture theatres include effective attachment of the latest starboard and interactive gadgets where communication and internal collaboration can be developed well (Kerzner, 2017). It is helpful for contemporary learning and ensures the modern learner to improve learning and skill developmental activities.

The goals of the project are,

To develop technical advanced educational activities at the campus

To digitalise the learning and skill development activities

To provide latest facilities in the class room

To develop the work stations for private studies for the students

Through implementing the project life cycle model in this, it is possible for the project management team to progress in the project and develop the building efficiently by introducing the latest digital technology for enhancing the learning and skill developmental activities. In the building, there are no classes held recently which further helps the project team to perform better and get free space to work as the building is vacant. The project managers need to appoint the board of directors to collaborate and develop the project planning for achieving success through developing the building (Marchewka, 2016). The project management software is also implemented to control the progress of the project and ensure successful completion of it within the estimated time.

For the project to be successful by developing attractive workstations for the students, there needs effective hardware system such as Information Technology (IT) infrastructure at the building, commuter base, projectors and big digital screen. These are the major products which are necessary to develop the digital classroom and workstations. Apart from that, it is also required for the project manager to implement the latest software system for managing the class room activities. In this regard, Apache Open Office is one to manage spreadsheet, documenting and editing and presentation creation for the online class room demonstration. QuickTime player and iTune are also utilised to improve the audio programming. Dropbox is another open for successful cloud computing and management where the data and information of the students can be managed. DVD Video Soft Flip is also effective software for installing the audio video slides in the workstation where the students can access the services and ensure efficient learning and developmental activities. On the other hand, the Data base management system is also software which is required in this project to handle the big data and conduct big data analysis for betterment of the educational services and managing the data and information through the developed computerised system.

Budget:

Total budget for this project is £8 million, where the board of University London has offered the amount for successful completion of the project, so that the development of the work station can be done efficiently. The expected cost structure of this project is such as,

The above mentioned communication plan is effective for enhancing the internal communication and improve cooperation while working with each other so that the project aim can be maximised.

Risk assessment:

The risk management practice is effective to identify the risks associated with the project of developing the building efficiently with 20 workstation and 5 new work station of job search in the library. These are maintained properly through managing the associated risks in the project. The expected risk factors during the project are such as lack of communication, lack of finance, non-cooperation, time constraint, and mismanagement as well as lack of monitoring and control. The project manager needs to identify the alternative ways to mitigate the risk factors and it is possible to manage the risk and progress the project efficiently through proper management of the staff, encouraging their creativity and innovation in the building, so that the interior decorator manager can guide the carpenter, plumber and painter to complete the project efficiently. Moreover, this is also possible to empower the technical team in the project to develop the work stations, so that the latest hardware and software system for the building so that the students can get proper place for their learning and development activities (Fleming, and Koppelman, 2016). In this regard, the leadership style also matters, where the leader must be supportive and directive with the team members both technical and nontechnical to lead them towards achieving future success, through enhancing communication and cooperation, managing them efficiently and encouraging them in long run.

Executing

For tracking the project status, it is mandatory to streamline the communication efforts across the organisation and stakeholder. In his regard online performance tracker is necessary to be implemented in order to review the performance in a regular basis (Heagney, 2016). Open communication is also mandatory for tracking the performance as well as implementing the CCTV cameras at the building also provides a scope to the stakeholders including the finance managers, project manager, HR team and the interior decorator team including the plumber, carpenter and painter to communicate and collaborate with each other for better performance. Hereby, these systems are effective for managing the execution of the project and review the performance on a regular basis. This further helps the project manager and the organisational leader to identify the status of the project and predict future time and cost, required to complete it successfully. In the building, the ICT framework, information and technology infrastructure as well as the CCTV cameras and online performance trackers are fruitful to review the project status and manage the activities of the project efficiently.

Controlling

Quality deliverables measure the customer’s expectation from the project and the internal process and product attributes indicate the quality of the project which further helps the project manager to satisfy their client and fulfil the project aim. There are certain attributes through which the project quality can be improved such as project scope, time and budget of the project, continuous monitoring and controlling planning, project governance plan and work break down structure (Meredith, Mantel Jr, and Shafer, 2017). In this particular project, there is clear wok break down structure as well as the Gantt chart which are useful to support the team members for conducting the project efficiently. It is also helpful to maximise the quality of the project, where the internal process, such as cooperation and high communication, partnership working practice by engaging with the plumber, carpenter and painter as well as there are strong communication and cooperation among the finance department and the HR departments where they try to utilise human resource and technical infrastructure as well as invest adequate amount of finance for successful completion of the class room. Hence, it is effective of the project manager to control the project by monitoring the progress on a regular basis and evaluate the performance of the team to conduct it successfully. For quality deliverables, the HR department is efficient in the institution to restructure their salary, manage change handle the diverse workforce for better working activities. Additionally, the HR hires the efficient team and technologically experienced staff to improve project performance and implement latest technology for work station development with giant screen, digital space for learning and development al activities of the students. The monetary invectives such as per finance related pay as well as rewards is also effective for the HR managers to manage them and enhance their contribution in ensuring the best project quality.

Closing

Project closing is important in a suitable way, by reviewing the latest outcome, and meeting the customer’s requirements, before handling the project to the institution, the project manager needs to be empowered and give them proper feedback about the building design and work station implementation (Kerzner, 2017). It is mandatory for the project manager to share the perception after seeing the project, its finishing and development of the work station. For successful handling of the project, the interior decorator also needs to communicate and cooperate with the project manager and the other staff members and technical team at the institution for quality assessment. Testing the technological base, work station, online database as well as the software is also mandatory before handling the project, where the project manager try to review their performance and test al the technology with proper cooperation and communication with the technical team and their stakeholders related to the project (Kerzner, 2019). After assessing the review, the responsible person must correct the project according to the client’s feedback and them handle it efficiently so that it would be possible to meet the requirements and preferences of the institutions regarding the work station implementation in the building and in this regard, the project manager must ensure after service facilities in case of any break down and changed required in the project.
